An unexplained charge, disputed fee or unhelpful response needs more than a single screenshot. Prepare a short chronology and the documents that allow someone to check what happened. An organised file makes the substance of your complaint easier to explain.
Start with a summary that can be checked
Identify the product or service, what happened, when you noticed it and what solution you requested. Separate established facts from questions. For several disputed charges, prepare a table showing the date, description and amount.
Clarify whether you are acting as a consumer or for your professional activity. Do not assume personal and business accounts have identical terms or time limits.
Build a file rather than a collection of screenshots
Keep the agreement, available terms, complete statements for the relevant period and communications. Include your written complaint and evidence that it was received. Avoid cropping out a transaction’s date or description.
Use a separate folder and number the documents. Link each event in your summary to its supporting document. If an agreement or response is missing, say so rather than reconstructing it from memory.
Make a specific request through a traceable channel
The Banco of España identifies the bank’s customer service department or customer ombudsman as the first step. Keep proof of submission. Any later report from the Banco of España is non-binding.

Check the time limit and competent body
The route and time limits depend on the product and claimant’s status. The Consumer Ministry’s guide distinguishes payment services from other complaints and directs users to the relevant supervisor. Check the applicable rule before counting days.
If the reply does not address your concern, compare what you requested with what the bank answered. Do not assume an insurance or investment complaint follows the same route as a banking complaint.

What your file should contain
- A chronology and list of disputed amounts.
- The agreement, terms and relevant statements.
- Your complaint and evidence of receipt.
- The bank’s reply or a note that it remains outstanding.
- The outcome requested and questions requiring review.
Frequently asked questions
Is speaking to the branch enough?
Keep the communications, but check whether you formally complained to the designated department. An undocumented conversation may not establish what you requested.
Should I send all my banking details through the first form?
No. Describe the issue, product, dates and whether you have a reply. Sensitive documents can be requested later through an appropriate channel.
Is an outcome guaranteed?
No. Assessment depends on the agreement, facts, evidence and applicable route. Preparing a file does not guarantee reimbursement.
